This is a senior position that reports directly into the COO and will encompass responsibilities across areas such as IT, Operations and Facilities. Working with your team of 3 people you will take ownership of overseeing the general day to day running across 2 office locations.
Operations Team Overview
- “On the ground” general administrative support for all FOD staff
- Overflow from mainline switch
- Stationery and office supplies monitoring, stocking, and ordering for Firm.
- Floor checks – ensuring all operations are running smoothly and effectively across 3 floors, common areas & basement.
- Set up and maintenance of sanitiser & cleaning station & Covid H&S compliance activities.
- Library audit & update as required.
- Company Seal Audits & arrangement of destruction as required.
- Swearing or Witnessing docs as required
- Manage RTO mailbox & RTO attendance (GG)
- Project manage and oversee any internal layout changes
- Tracking events, updating social media, Website content management
- Ad hoc activities as they arise
Finance
- Collate & manage incoming and outgoing post.
- Manage office petty cash (refilling, tracking & weekly reconciliation with Finance team
- Bank/lodgment runs.
- Prepare and issue cheques – issue update to Finance team.
- Client point of contact to confirm account details to allow for invoice payments – update shared spreadsheet with relevant details.
- Supplier invoice review and sign off
- Liaise with all service providers re pricing for business telephone
Facilities
- Point of contact for Dublin and Galway offices
- Ensuring that all maintenance work is scheduled, completed & up to date.
- Management of Aviation Hub & client liaison
- Monitoring and management of BMS & AC system
IT
- General support: daily troubleshooting on software
- On site trouble shooting (hardware – laptops, workstations, cabling, telephone, comms rooms x 3, etc.)
- Ticket management & liaising with Calligo
- Printer Support – daily troubleshooting, maintenance scheduling, stock ordering, etc.
- Preparing and sharing best practice guides & user Licensing management
- Strategic review of infrastructure, gap analysis and future proof planning
- Management of the IR PC & ROS PC
- Management of firm mailboxes, OneDrive, Teams, IT Asset Register, ACT & CCTV system
- User On & Off Boarding
- General support across Evolve system
- Review, plan/test, install/implement and roll out any new software applications for the firm.

- Ability to trouble shoot and solution orientated
- Advanced MS Office experience
- Experience working within a similar role 7+ years
