Senior Legal Executive District Court
This role supports the District Court Department within the Client's firm.
Duties and Responsibilities
- Post
- Ensure all incoming post is collected each morning.
- Ensure all relevant items are scanned onto the Keyhouse system as required.
- Review post & ensure it is progressed/ actioned as required.
- Ensure any outgoing post is issued as required.
- Ensure all relevant information/updates are made in Keyhouse to keep case files up to date.
- Phone Calls
- Handle incoming & outgoing calls as required.
- Record any updates/ actions from calls in the Call Notes facility on Keyhouse in order to document all activity pertaining to a case & keep the system files up to date.
- Emails
- Address/ action incoming & outgoing emails.
- Issue any emails pertaining to case files from the Keyhouse email facility.
- Ensure physical & electronic files are updated with any relevant information from emails as required.
- Diary Management
- Ensure all appointments are recorded in the Diary & the office Outlook calendar.
- Liaise with Legal Executive to ensure all meeting requirements are organised as required.
- Ensure all meeting documentation is issued & stored on the Keyhouse system as required.
- Proactively manage all Court attendances & Client meetings to ensure these are planned for in advance
- Dictation
- Assign all dictation to the offsite Typists, where possible.
- Liaise with Legal executive to ensure completed dictation is issued as required.
- Physical Case Files
- Liaise with Legal Executive to ensure physical file information is accurately maintained & that files are closed out/shipped offsite as needed.
- Electronic Case Files (Keyhouse System)
- Utilise the system Task List to document & plan the case activities as required.
- Ensure electronic file information is accurately maintained i.e. by ensuring that all relevant documentation is scanned onto the system, correct templates & naming conventions are used etc.
- Ensure call/meeting information is accurately maintained in the system.
- Company Spreadsheets
- Update case related data in the relevant Company spreadsheet as required.
- Ensure all Company spreadsheets are ready for Client submission in advance of deadline.
- Reporting
- Ensure an accurate list of current case files is maintained to comply with MI reporting requests.
- Maintain any other reports as requested by the Partners to aid MI requirements.
- Client Management
- Liaise with Clients, respond to enquiries, emails and telephone messages and anticipating response in relation to all case files;
- Cultivate & maintain a professional & helpful relationship with Clients.
- Attend Client Networking events as required.
- Advise clients on queries and difficult cases to include providing initial advices;
- General
- A proven ability to run cases independently on their own;
- An ability to manage a busy, demanding caseload, to meet deadlines and to prioritise;
- A professional approach to work;
- Dynamic person who is able to work with high volume cases;
- Engage with support team to ensure the proper preparation of cases for court;
- Collate papers for Court/Counsel;
- Attend court throughout the country-must have full clean drivers licence and own car;
- Drafting an extensive volume of legal proceedings and affidavits on recovery, defence and debt recovery cases;
- Drafting correspondence and pleadings
- A keen interest and knowledge of contract tort and debt recovery law;
