Job Title: Medical Administrator –

Hours: 35 hours per week)

Rate: €17.10 per hour (1st point of Clerical Officer pay scale)

Contract: Month-to-month contract

Start Date: Immediate

Working Pattern: Flexibility required, including occasional evening shifts (12:00–20:00) and occasional Saturdays

Key Duties & Responsibilities:

Manage new patient referrals from receipt through to appointment scheduling.
Book new patient appointments in accordance with consultant availability and service guidelines.
Act as a first point of contact for patient queries via phone and email, providing a professional and courteous service.
Liaise closely with consultants, clinical teams, OPD secretaries, and other administrative staff to coordinate referrals and appointments.
Monitor and manage referrals to ensure timely progression.
Carry out cleardown processes in line with departmental procedures.
Create, and manage new patient folders, ensuring all relevant documentation is included.
Maintain accurate and orderly medical records in compliance with hospital policies and GDPR requirements.
Perform general clerical and administrative duties including filing, data entry, scanning, photocopying, and housekeeping of records.
Work collaboratively as part of a multidisciplinary administrative team.
Participate in team meetings and contribute to service improvement initiatives.
Demonstrate flexibility in working hours to meet service needs, including evenings and occasional Saturdays.
Undertake any other duties appropriate to the role as assigned by line management.

Qualifications / Experience:

Previous clerical or administrative experience in a healthcare or similar environment is desirable.
Excellent organisational skills with strong attention to detail.
Ability to manage multiple tasks, prioritise workload, and meet deadlines.
Strong communication and interpersonal skills, with confidence dealing with patients and clinical staff.
Competent in Microsoft Office and general computer systems.
