Job Title: Grade IV Administrative Officer
Location: Sandyford, Dublin
Contract: 1 Year Fixed-Term
Are you an experienced administrator looking for your next challenge? We are seeking a Grade IV Administrative Officer to join a busy team in Sandyford on a 1-year fixed-term contract. This role is ideal for a highly organised individual who thrives in a fast-paced environment and is confident managing a variety of administrative responsibilities with professionalism and discretion.
Key Responsibilities:
- Provide efficient and prompt administrative, secretarial, and telephone support to the Clinical Team.
- Manage incoming calls, messages, mail, and visitors in a courteous and confidential manner.
- Prepare, type, and distribute correspondence, reports, minutes, and meeting documentation.
- Maintain filing systems and databases (manual and electronic), ensuring accuracy and confidentiality.
- Schedule appointments and record attendances on the Mental Health Information System (MHIS).
- Monitor stationery stock, manage orders, and oversee office equipment upkeep.
- Process invoices and maintain accurate financial records.
- Provide reception cover and occasional cross-site support as required.
- Assist with in-service training and staff development as relevant to the role.
- Adhere to health, safety, and confidentiality policies at all times.
Skills & Experience:
- Previous experience in a Grade IV or equivalent administrative role.
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and database systems.
- Ability to handle confidential information with discretion.
- A team player with a flexible and proactive approach.
