Our client, a respected professional institute, is seeking a professional and personable Receptionist to join their small Human Resources team on a part-time basis. This is an excellent opportunity for a confident and organised individual who enjoys being the first point of contact and delivering a high standard of service.
Hours: 8:30 a.m. – 4:30 p.m., Monday & Tuesday + occasional ad hoc Saturdays/Sundays
The Role
As Receptionist, you will be the first point of contact for all visitors and callers to the Institute. You will play a key role in creating a welcoming and professional environment for clients, course participants, lecturers, consultants, Board members and staff.
Key Responsibilities
Switchboard Duties
- Manage all incoming calls and direct them to the appropriate extensions
- Handle general enquiries efficiently and professionally
- Take and forward accurate messages to staff, visitors and course participants
- Make outgoing calls for participants and visiting personnel as required
Reception Duties
- Welcome and assist all visitors promptly and courteously
- Provide accurate information regarding educational programmes, training courses and other Institute services
- Direct participants, interviewees, committee members and other visitors to relevant rooms
- Maintain a professional, hospitable and organised front-of-house environment
The ideal candidate will have:
- Excellent communication and interpersonal skills
- Fluency in English (written and spoken)
- A professional, friendly and confident manner
- Strong client service skills with an understanding of the importance of public relations
- Good IT proficiency
- Sound judgement, common sense and the ability to work independently
- A flexible approach and willingness to undertake additional duties as required
