Overview
We are seeking an experienced and professional Medical Secretary to join a busy healthcare team. The successful candidate will play a key role in providing administrative support, ensuring the smooth day-to-day operation of the practice while delivering a high standard of service to patients and healthcare professionals.
This position requires excellent organisational skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced medical environment.
Key Responsibilities
- Provide comprehensive secretarial and administrative support to medical professionals.
- Manage patient appointments, scheduling, cancellations, and follow-up bookings.
- Handle incoming telephone calls, emails, and patient enquiries in a professional and confidential manner.
- Prepare, format and proofread medical correspondence, reports, referrals and other documentation.
- Maintain accurate and up-to-date patient records in line with data protection and confidentiality requirements.
- Process referrals and liaise with hospitals, consultants, laboratories and other healthcare providers as required.
- Manage filing systems, both electronic and paper-based.
- Support billing, invoicing and administrative processes where necessary.
- Ensure all patient information is handled confidentially and in accordance with relevant healthcare regulations.
- Assist with general office administration and contribute to the efficient running of the practice.
Requirements
- Previous experience in a Medical Secretary, Medical Administrator, Healthcare Administrator or similar role.
- Excellent typing and audio transcription skills.
- Strong working knowledge of Microsoft Office Suite.
- Experience using medical practice management systems would be advantageous.
- Outstanding communication and interpersonal skills.
- Exceptional organisational and time-management abilities.
- Ability to prioritise workload and work effectively under pressure.
- High level of accuracy and attention to detail.
- Understanding of patient confidentiality and GDPR requirements.
- Professional, discreet and patient-focused approach.
Desirable Skills
- Experience working within a GP practice, consultant clinic, private hospital or healthcare setting.
- Medical terminology knowledge.
- Experience processing referrals and managing patient pathways.
- Familiarity with healthcare administration procedures and systems.
