About the Role
The General Administrator provides day-to-day administrative and coordination support to the SAP team, with a specific focus on training delivery and knowledge transfer across the business. You will schedule and track training sessions, maintain guides and reference materials, and act as the organised link between the SAP team and the functions being trained — Finance, Supply Chain, Projects, Sales, and the US operation.
Whilst this is not a technical SAP role,it would be very beneficial that this person would have a positive approach to systems use and the want to learn quickly. It is a coordination and administration role for someone who is organised, comfortable working across multiple stakeholders, and able to keep training moving as per the Schedule with the goal that all knowledge transfer has taken placer
Key Responsibilities
Training coordination — own the training calendar for role-based SAP and Power BI sessions, scheduling attendees, booking rooms or Teams links, and following up on non-attendance.
Materials management — maintain the library of quick reference guides and training materials produced by the SAP team, keeping them version-controlled and held in a single known location (SharePoint).
Knowledge transfer tracking — track who has been trained on what, by function and region, and maintain the training completion log that feeds into the monthly adoption scorecard.
SAP team support — provide administrative support to the SAP team — diary management, meeting minutes, action tracking, and follow-up on outstanding items from diagnostic and floor-walking sessions.
Onboarding coordination — act as first point of contact for new starters needing SAP access and induction training, coordinating with IT and the accountable function owner to get them set up and trained.
Documentation — capture notes and outcomes from knowledge-transfer sessions between the SAP team, consultants, and internal champions, so lessons and fixes are recorded rather than lost.
Reporting support — prepare simple status updates on training coverage and completion for the SAP team lead, flagging functions or individuals falling behind.
Experience
Typically 3–5 years in an administrative, coordinator, or training support role.
Strong organisational skills, comfortable managing multiple calendars, stakeholders, and follow-ups at once.
Confident user of Microsoft Office (Outlook, Excel, Word, PowerPoint) and SharePoint or an equivalent document management tool.
Clear, professional written and verbal communication — able to chase busy people for their time without losing goodwill.
Comfortable working with both technical colleagues (the SAP team) and non-technical end users across functions.
Discretion in handling training records and performance-adjacent data.
Desirable
Prior exposure to SAP, another ERP system, or a system rollout/training programme.
Experience in a manufacturing, engineering, or multi-site business.
Familiarity with Power BI at a basic user level (viewing reports, not building them).
Event or training-session coordination experience.
Success Measures
Training sessions scheduled, attended, and tracked to completion against the adoption plan's cadence.
Quick reference guides and training materials kept current and easy to find in one place.
Training completion data accurate and available for the monthly adoption scorecard without last-minute chasing.
SAP team report a measurable reduction in administrative load, freeing their time for configuration and floor-walking support.
New starters trained and system-ready within an agreed timeframe of joining.
