Receptionist / Office Coordinator (Temporary)
Location: Dublin City Centre
Contract: Temporary (3 Weeks)
Hours: 35 Hours per Week
Salary: €38,803 pro rata
Working Arrangement: Fully Onsite
About the Role
We are seeking a professional and organised Receptionist / Office Coordinator to provide front-of-house and administrative support within a busy office environment. This role is ideal for a candidate with strong customer service, administration, and office coordination experience who thrives in a fast-paced setting.
Key Responsibilities
- Manage the reception area and provide a professional first point of contact for visitors and stakeholders.
- Answer and direct incoming telephone calls and respond to general enquiries.
- Coordinate meeting rooms and support the day-to-day running of the office.
- Manage shared email inboxes and ensure timely responses to enquiries.
- Organise office supplies and stationery orders.
- Assist with travel arrangements, accommodation bookings, and event registrations.
- Provide administrative support to senior management, including diary management, reservations, bookings, data entry, and reporting.
- Maintain filing systems and ensure accurate record management.
- Liaise with suppliers, facilities teams, and external service providers.
- Support staff with office-related queries and coordinate any building or facilities issues.
- Assist with organising meetings and events.
- Issue office access materials and support general office security processes.
- Support ongoing projects and provide additional administrative assistance as required.
Skills & Experience
- Previous experience in reception, administration, office coordination, or a similar support role.
- Excellent customer service and stakeholder management skills.
- Strong communication skills, both written and verbal.
- Highly organised with strong attention to detail.
- Ability to manage multiple priorities and work independently.
- Proactive, adaptable, and solution-focused approach.
- Strong team player with the ability to build relationships across all levels of an organisation.
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Teams.
- Professional and positive attitude with the ability to work effectively in a busy environment.
