I’m currently recruiting an Administrator for our client who are a fast-growing, global brand.
The role sits within a dynamic Product Management team and plays a crucial part in ensuring smooth packaging development, accurate artwork management, and efficient product launch processes. You’ll collaborate with cross-functional teams across Regulatory, Quality, Supply Chain, and Marketing, gaining exposure to all stages of product lifecycle management.
This position offers a blend of coordination, documentation control, and stakeholder support within a fast-paced, global environment.
Key Responsibilities
Packaging Operations & Administrative Support
- Act as the central administrative and project support for all packaging workflows within wellness and nutrition product categories.
- Coordinate artwork creation, review cycles, and approvals through internal Quality Management Systems.
- Maintain all packaging documentation, including up-to-date specifications and version control.
- Ensure packaging meets brand, regulatory, and regional compliance standards.
- Organize, track, and manage packaging project timelines to ensure successful delivery.
- Support the maintenance and development of packaging-related SOPs.
- Facilitate communication across global marketing and cross-functional teams.
- Handle ad-hoc administrative duties supporting the product and packaging function.
Project Coordination & Data Management
- Assist in managing project timelines, tasks, and reporting milestones.
- Oversee version control, file organization, and documentation across product and marketing systems.
- Support management of product claims, testimonials, and digital asset organization.
- Stay informed on market, regulatory, and category trends.
- Track artwork workflow metrics and provide insights for process improvements.
Communications & Stakeholder Engagement
- Serve as the primary point of contact for packaging administration queries.
- Liaise with design agencies, packaging suppliers, and internal teams to ensure efficient communication and approvals.
- Manage internal communication channels and ensure timely updates across departments.
- Coordinate translation needs for packaging copy when required.
- Support onboarding and training related to packaging processes.
- Help manage shared team inboxes and communication systems.
General Administrative & Ad-Hoc Support
- Provide daily administrative assistance to the Packaging and Product teams.
- Prepare reports, presentations, and artwork status updates.
- Maintain accurate records of packaging claims, certifications, and compliance files.
- Support artwork change logs and version histories.
- Contribute to additional tasks supporting broader product and packaging operations.
Skills & Experience
- 2+ years’ experience in administrative, operational, or coordination roles within a busy office, marketing, or product environment.
- Excellent organizational skills with the ability to handle multiple deadlines.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Confident communicator, comfortable working with global stakeholders.
- Experience with project/workflow tools (e.g., Asana, Trello, Smartsheet) is a bonus.
- Packaging or artwork workflow experience is advantageous but not required, full training provided.
- Interest in product development, packaging coordination, or marketing is a plus.
