Executive Assistant
How will this role have an impact?
The Executive Assistant will support a number of the Cordavis Executive Leadership team in day-to-day schedule management, meeting preparation, expenses, and ad hoc work-related projects. This person will be the primary gatekeeper for their executives and will help them prioritize and communicate with internal and external stakeholders in a timely, professional manner. This role is responsible for a broad range of strategic and tactical high-level executive administrative support activities and is expected to work with discretion and judgment in all aspects of the role. You will be a critical connector of our US & Ireland-based teams through the relationships you build around scheduling, travel and workshop planning, etc.
What will you do?
Support stakeholders in day-to-day activities including the coordination and management of meetings and daily schedules.
Maintain frequently changing calendars through MS Office and understand priorities to effectively manage calendars in multiple time zones.
Responds quickly, accurately, and confidentially to internal and external inquiries in a courteous and professional manner
Manage expenses and submit expense reports
Coordinate travel arrangements
Assist with internal and external events across multiple offices
Work with stakeholders to arrange and execute team building, offsites, and social events/lunches
Support local managers with onboarding logistics for our new and growing teams
Supporting agenda creation & minuting of meetings including the timely follow-up of action items
Completes special work-related projects as assigned
We are looking for someone with:
Minimum of 5-10 years of experience supporting C-level Executives
Extensive experience booking travel and coordinating meetings
Ability to apply judgment to effectively manage, prioritize & maintain complex calendars and schedules across internal and external stakeholders
Excellent communication skills and a passion for building relationships that bring people together
Ability to adapt & thrive in a fast-paced, geographically dispersed, and rapidly changing environment
Experience creating presentations
An understanding of US healthcare is an advantage
