Executive Assistant - Galway
My client is seeking an exceptional Executive Assistant to partner with the CEO and Executive Leadership Team. This is a high-trust role at the centre of the business which ideal for someone who enjoys pace, variety, and taking full ownership of executive operations.
You’ll be the person who keeps the leadership engine running, protecting priorities, removing friction, coordinating governance rhythms, and ensuring the right information is in the right place at the right time.
What you’ll be responsible for:
Executive Office Support
- Run the day-to-day coordination for the CEO and leadership team, scheduling, meetings, logistics, and general executive support.
- Take ownership of the CEO’s long-range planning and diary control. Spotting conflicts early, anticipating pinch points, and keeping critical commitments on track.
- Manage communications flow, calls, correspondence, follow-ups, and ensuring timely responses and alignment.
Documents, Briefing & Communications
- Produce polished presentations, reports, minutes, and executive-ready documents.
- Prepare briefing notes and gather insights through targeted research when required.
- Draft and format communications for internal and external audiences with clarity and professionalism.
- Act as a key point of contact between leadership and stakeholders across the organisation and externally.
Board & Governance
- Coordinate the monthly Board cycle, agenda build, board pack preparation, and distribution.
- Attend Board meetings to capture minutes and drive follow-through on decisions and actions.
- Provide ad hoc secretarial support to the Board of Directors when required.
Projects & Executive Initiatives
- Support planning and delivery of leadership priorities and business initiatives, tracking timelines, actions, and milestones.
- Assist with cross-functional programmes spanning transformation, operations, and organisational development.
- Coordinate key leadership events and structured sessions (offsites, planning meetings, stakeholder visits).
Travel & Logistics Ownership
- Own the administration and governance of the company’s travel platform (Navan): ensuring bookings are accurate, compliant, and aligned to policy.
- Monitor travel activity, keep traveller profiles up to date, and ensure consistent adoption across the business.
- Partner with the travel provider and internal teams to deliver smooth, cost-aware, policy-compliant travel planning.
Administration & Follow-through
- Handle highly sensitive information with discretion and sound judgment.
- Process CEO expenses and corporate card reconciliations accurately and on time.
- Track tasks end-to-end—closing loops, escalating early where needed, and ensuring nothing slips.

Experience Required:
- 10+ years’ experience as an Executive Assistant/PA (or similar) in a corporate environment.
- Proven track record managing complex diaries and international travel end-to-end.
- Strong IT capability with excellent reporting, analytical, and document production skills (PowerPoint, Excel, Outlook essential).
- Degree in business/management (preferred).
