Office Administrator
Our Client, a Galway City based, financial services organisation is seeking to hire an Office Administrator.
The Office Administrator will provide administrative support to the Secured Portfolio Department, ensuring efficient handling of secured asset documentation, database management, regulatory compliance, and internal coordination. This role is critical in maintaining the integrity, confidentiality, and accuracy of secured portfolio records and supporting the team in delivering high quality portfolio management service.
What you’ll do
• Provide general administrative support to the Secured Portfolio team, including scheduling, documentation, and correspondence.
• Maintain and update internal databases, trackers, and filing systems.
• Assist in the preparation, review, and processing of loan and security-related documents.
• Monitor email inboxes and respond or redirect queries as appropriate.
• Generate and format reports using Microsoft Excel and other tools.
• Track deadlines and ensure compliance with departmental processes and timelines.
• Liaise with internal teams, clients, and third-party stakeholders when required.
• Support the team with audit preparation and regulatory compliance tasks.
• Handle confidential information with a high level of discretion and professionalism.
• Contribute to continuous improvement of administrative processes within the department
What you’ll bring
• Bachelor’s degree in Business, Finance, Administration, or a related field.
• Proficient in Microsoft Office, especially Excel (e.g., formulas, data entry, formatting).
• Strong organisational and time-management skills.
• Excellent communication skills, both written and verbal.
• High attention to detail and accuracy.
• Ability to prioritise tasks and work independently in a deadline-driven environment.
• Eagerness to learn and develop within a financial or administrative setting
