I have an exciting new opportunity available for an experienced Personal Assistant / Team Administrator to join an expansive organisation based in Dublin 2.
This role is ideal for someone who is curious, ambitious and eager to learn new skills in a busy and fast paced role, working with key stakeholders and senior level executive staff on a daily basis.

Your Key Responsibilities
· Efficiently manage the executive's diary, emphasising the anticipation of needs and a deep understanding of priorities.
· Coordinate travel, visa, and accommodation arrangements, optimising the executive's time and resources.
· Planning and management of both internal and external events, including conferences, meetings, and gatherings.
· Lead the management and coordination of projects specific to the function
· Ensure that all Purchase Orders, invoices, and expenses are completed promptly, accurately, and in strict accordance with company guidelines.
· Oversee the timely management of expenditure through Concur, maintaining a well-structured filing and reference system.
· In executive meetings, you will demonstrate leadership, preparation, efficiency, and effectiveness, including note-taking and proactive follow-up on agenda items and tasks.
· Coordinate data and prepare relevant business reports and presentations, ensuring that they align with strategic objectives.
· Identify and implement solutions to challenges faced by the leaders you support
· Demonstrate high standards in terms of planning, work quality, and accuracy of work outputs.
About You
• Demonstrated high performance in a Personal Assistant or Team Assistant role at a senior level, showcasing your leadership capabilities.
• Experience working across different geographical regions would be advantageous for certain positions, further demonstrating your business acumen.
• Proficiency in relevant functional systems, e.g., Workday, is preferred, showcasing your tech-savvy nature.
• Exceptionally organised and self-motivated, with the ability to foresee, prioritise, and manage workloads effectively, demonstrating your business acumen and leadership skills.
• Skilful at tactfully and assertively prioritising core duties over requests from the broader team, demonstrating your leadership qualities.
• Capable of working effectively under pressure and meeting deadlines, leveraging your leadership abilities.
• Willingness to perform a variety of duties and tasks, often going above and beyond to ensure smooth business operations, exemplifying your leadership and dedication.
