Job Title: Medical Administrator –
Hours: 35 hours per week)
Rate: €17.10 per hour (1st point of Clerical Officer pay scale)
Contract: Month-to-month contract
Start Date: Immediate
Working Pattern: Flexibility required, including occasional evening shifts (12:00–20:00) and occasional Saturdays
Key Duties & Responsibilities:
- Manage new patient referrals from receipt through to appointment scheduling.
- Book new patient appointments in accordance with consultant availability and service guidelines.
- Act as a first point of contact for patient queries via phone and email, providing a professional and courteous service.
- Liaise closely with consultants, clinical teams, OPD secretaries, and other administrative staff to coordinate referrals and appointments.
- Monitor and manage referrals to ensure timely progression.
- Carry out cleardown processes in line with departmental procedures.
- Create, and manage new patient folders, ensuring all relevant documentation is included.
- Maintain accurate and orderly medical records in compliance with hospital policies and GDPR requirements.
- Perform general clerical and administrative duties including filing, data entry, scanning, photocopying, and housekeeping of records.
- Work collaboratively as part of a multidisciplinary administrative team.
- Participate in team meetings and contribute to service improvement initiatives.
- Demonstrate flexibility in working hours to meet service needs, including evenings and occasional Saturdays.
- Undertake any other duties appropriate to the role as assigned by line management.
Qualifications / Experience:
- Previous clerical or administrative experience in a healthcare or similar environment is desirable.
- Excellent organisational skills with strong attention to detail.
- Ability to manage multiple tasks, prioritise workload, and meet deadlines.
- Strong communication and interpersonal skills, with confidence dealing with patients and clinical staff.
- Competent in Microsoft Office and general computer systems.
