We are currently seeking an experienced Administrative Assistant to join a busy and fast-paced public sector team based in Swords. This is an excellent opportunity for a highly organised and proactive individual with a strong administrative background to contribute to an essential service environment. The successful candidate will have previous experience in a similar role and be available to commence at short notice.
About the role
- Provide comprehensive day-to-day administrative support, including correspondence management, document preparation, typing (including audio/Dictaphone), filing, and general office duties
- Manage incoming communications such as phone calls, enquiries, and correspondence, ensuring all queries are logged, prioritised, and responded to in a timely manner
- Handle complaints and sensitive enquiries with professionalism, escalating where appropriate and keeping relevant stakeholders informed
- Assist in drafting and issuing letters, memos, and general communications to internal teams, external stakeholders, and the public
- Maintain, update, and manage internal databases and records, ensuring accuracy and confidentiality at all times
- Support the wider team in delivering departmental objectives and services
- Work closely with colleagues across multiple functions to ensure effective service delivery
- Develop a strong understanding of the organisation’s structure, services, and how your role contributes to overall objectives
- Build awareness of how different departments interact to deliver high-quality outcomes
- Use organisational knowledge and processes to support efficient and effective operations
- Act in line with organisational values, demonstrating professionalism, integrity, and accountability
- Maintain strict confidentiality and discretion when handling sensitive information
- Ensure all interactions with service users and stakeholders are conducted with respect and care
