CPL has an exciting opportunity for an experienced Executive Personal Assistant to join a leading global pharmaceutical organisation based in Cork on an initial 12-month contract. This role supports senior leaders within the business and is ideal for a highly professional, proactive PA who thrives in a fast-paced, regulated environment.
You will work closely with senior stakeholders, providing high-level administrative and organisational support that is critical to business success. The role offers a hybrid working model (3 days onsite), with flexibility to attend onsite more frequently when required.
The Role
This is a pivotal position requiring discretion, professionalism, and strong organisational skills. You will be responsible for managing complex schedules, travel arrangements, communications, and executive documentation to ensure seamless day-to-day operations for senior leadership.
Key Responsibilities
- Coordinating complex international travel arrangements
- Managing detailed diaries and calendars for senior executives
- Organising and scheduling meetings and preparing agendas
- Taking minutes and issuing follow-up actions
- Preparing and formatting executive-level presentations
- Monitoring and managing inboxes and correspondence
- Submitting and tracking travel expenses via SAP Concur or similar systems
- Maintaining payroll-related records and calendar accuracy
- Acting as a trusted point of contact for senior internal and external stakeholders
Requirements
To succeed in this role, you will bring:
- Minimum 10 years’ experience in a Personal Assistant or Executive Assistant role
- Background within a highly regulated industry (pharma, medical devices, finance, legal, or similar)
- Strong experience using SAP Concur or a similar travel and expense management platform
- Proven ability to work independently with minimal supervision
- Exceptional organisational, communication, and problem-solving skills
- High attention to detail and commitment to accuracy
- Professional presence and confidence engaging with senior-level management
