Our client in Craigavon requires an experienced Administrative Assistant with good people skills and experience in a busy office environment.
Job Title: Administrative Assistant with Reception Duties
Hours of Work: Monday to Friday 40 hours per week – Core Hours 8am-530pm
Pay Rate: €13.46 per hour
OVERALL ROLE OBJECTIVE:
The post holder will be responsible for providing administrative support to the Group Facilities Department (Ireland).
JOB SPECIFIC RESPONSIBILITIES:
The post holder will:
1. Assist with the management and filing of Facilities and Site Services scheduled work orders using our computer based maintenance system PEMAC.
2. Liaise with the HR Department and Business Units for the creation of New Employee Access Cards.
3. Assist with the daily management of Card Access across the Dundalk Site.
4. Prepare purchase orders and log committed monies and invoices for the Facilities Department (Ireland)
5. Manage reception at Dundalk site (this will include meeting and greeting visitors and contractors, handling post, answering phone calls and redirecting as required.)
6. Take and circulate minutes from meetings as required.
7. Any other duties associated with the administration of the Facilities Department.
8. Keep Line Manager informed on a regular basis of progress and any circumstances, which alter agreed time scales and work schedules.
ESSENTIAL REQUIREMENT:
GCSE Mathematics and English Language at Grade C or above (or equivalent).
Previous experience within an administrative role, preferably in a busy office environment.
Efficient in MS Outlook, Word, Excel and PowerPoint.
Ability to prioritise workload and achieve set timeframes.
Ability to work independently and on own initiative.
