Office Administrator
Our client, based in Cahir, Co. Tipperary, an organisation dedicated to providing QQI validated, quality assured education and training programmes to the agricultural sector are seeking an ambitious Office Administrator to join their expanding team.
The Role:
The Office Administrator is responsible for overseeing the daily operations and efficient functioning of the office environment. This role involves a blend of administrative, managerial, and organisational tasks to ensure that the office runs smoothly and effectively and to support the other team members.
Responsibilities to include:
· Greet and welcome visitors/learners to the office in a friendly and professional manner
· Serve as the first point of contact for all incoming calls, providing assistance or directing them to the appropriate staff member
· Provide relevant information to potential learners from a sales perspective, ensuring they have an understanding of what is involved and the application process
· Answer and manage all incoming emails to the main office inbox, ensuring timely responses and accurate information is provided
· Direct calls and emails to the relevant staff members, ensuring effective communication within the team
· Plan and organise the Learner Induction sessions for all new learners
· Manage multiple email inboxes with competing demands
· Engaging with the programme team around the preparation of all learner materials for Induction and new programme start
· Managing learners who come to the office to sit exams/complete assignments as needed.
· Preparing the office for in-person exams and practical assessments done onsite
· Preparing and managing the preparation of materials for in-person practical assessment days
· Manage daily operations of the office to ensure the smooth running of the office. This includes post, stationery, cleaning supplies and managing contractors
· Manage equipment including ordering new equipment, scheduling services and managing repairs
· Managing the ordering and maintenance of supplies for in-person exam and practical assessment days
· Work with a variety of suppliers to ensure the efficient delivery of services and that there is no breakdown of service
· Collect, sort, and ensure all outgoing post is delivered to the post office promptly
· Manage and arrange for any post to be sent out of the office, ensuring all mail is dispatched efficiently.
Skills and Experience that we need:
· A qualification in Office Administration is desirable
· 2 years’ experience working in a busy office environment
· Knowledgeable and proficient in MS Office, Microsoft Teams, Excel, and Word
· Experience working in busy office environment with competing demands
· Confident dealing with members of the public in-person, in a friendly and professional manner
· Ability to manage a varied workload and manage tasks during busier times in the office. E.g., Induction/exams
· Ability to multitask and prioritise effectively
· Strong organisational skills and attention to detail
· Strong communication skills, both written and verbal
· Excellent customer service skills with a professional and friendly demeanour
The Offer:
The is a full-time permanent role with competitive salary of €32,000K-€33,500K per annum, depending on candidates’ experience and qualifications.
This role is based in the company's office in Cahir Co. Tipperary so candidates must be based in the region or a short commute.
