About the Role
Our client is seeking an organised and detail‑oriented State Services Administrator to join a high‑performing team responsible for providing administrative and operational support across a broad vehicle‑services function. This role involves daily interaction with customers, suppliers, and internal colleagues, requiring a professional communication style and strong service orientation.
You will support a wide range of administrative activities, including scheduled events, data updates, fuel card and toll tag management, logistical coordination, system updates, and reporting. The ideal candidate will be proactive, adaptable, and eager to contribute to a busy and collaborative team.
Key Responsibilities
- Act as a key administrative contact within the State Services Team.
- Manage daily, weekly, and monthly scheduled tasks, ensuring all activities are completed ahead of due dates.
- Handle inbound enquiries via phone and email, providing timely and accurate responses.
- Monitor and manage team inboxes, ensuring queries are resolved promptly and professionally.
- Provide administrative support across areas such as fuel cards, toll tags, vehicle collections and hire cars, fines processing, road tax, vehicle ordering and delivery, and GPS management.
- Support CVRT administration, liaising with technical managers and suppliers to ensure vehicle roadworthiness, and managing associated reports.
- Maintain accurate system updates, including location changes, cost‑centre updates, mileage amendments, and pool/surplus fleet management.
- Assist with pool vehicle administration and ensure all system records remain up to date.
- Prepare meeting minutes and track actions following team meetings.
- Liaise with internal departments to resolve queries and support operational continuity.
- Ensure adherence to all internal procedures and processes.
- Contribute to team goals and work towards individual performance targets.
- Undertake additional duties as required by management.
Skills, Experience & Competencies
- Minimum of 1 year’s experience in an administrative role.
- Strong written and verbal communication skills with a professional, friendly, and diplomatic manner.
- Proven customer service capability with confidence in managing a high volume of queries.
- High attention to detail and accuracy in all administrative tasks.
- Strong IT skills with proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- A collaborative team player who enjoys contributing to shared goals.
- Strong interpersonal skills with the ability to build rapport across a wide range of stakeholders.
- Ability to manage workloads effectively, prioritise tasks, and meet deadlines.
- Confident decision‑maker with the ability to identify inefficiencies and take initiative.
- Calm, professional, and composed under pressure.
- Positive attitude with a strong “can‑do” approach to day‑to‑day tasks.
- Previous experience in the motor industry is an advantage, though not essential.
