Job Title: Executive Assistant – 12-Month Contract
Location: Dublin 2 (Hybrid Working Available)
Salary: €28,000 – €30,000

We’re looking for a proactive and detail-oriented Executive Assistant to join a well-established public sector organisation on a 12-month contract. Supporting the Payroll & Expenses team, this role is ideal for someone with strong administrative skills who enjoys keeping things organised, supporting colleagues, and ensuring day-to-day operations run smoothly.
Key Responsibilities:
- Process and track staff expense claims (domestic and international) with accuracy and care.
- Monitor charge card balances and support staff in submitting reconciliations on time.
- Maintain up-to-date employee records including vehicle insurance and travel details.
- Assist with raising purchase orders and processing invoices in line with internal processes.
- Provide admin support to the Payroll & Expenses Executive, including document prep and inbox monitoring.
- Respond to internal queries about expenses, travel, and general admin processes.
- Update internal systems and trackers to support audit readiness and record-keeping.
- Assist the wider admin and finance support team with ad hoc tasks and reporting.
- Ensure all tasks are completed to internal deadlines and with a focus on accuracy.
Ideal Candidate:
- Solid admin background, ideally in a support, accounts, or team coordinator role.
- Strong organisational and document management skills.
- Confident working with internal systems and databases (training provided).
- Clear communicator with a helpful, professional approach.
- Comfortable handling routine tasks, following structured processes, and managing multiple deadlines.
- Experience supporting with POs or invoices is an advantage, but not essential.
- A third-level qualification or currently pursuing one is a bonus, not a requirement.
