About The Land Development Agency
The Land Development Agency (LDA) is a key Government Commercial Semi-State Body that delivers social and affordable housing on State and other lands. It is overseen by an independent board of directors and the Government has committed to providing the LDA with €1.25 billion of equity which is drawn as required. The LDA has commenced construction on various state sourced lands and is currently working on direct delivery projects that can deliver over 5,000 homes. It is also delivering affordable housing by working with the private sector on an initiative called ‘Project Tosaigh’, which will yield a further 5,000 homes. Additionally, the LDA is working on large-scale longer-term strategic areas by master-planning and bringing forward planning applications in locations such as Limerick Colbert Quarter, the Digital Hub in Dublin and Sandy Road in Galway.
The Role
This is a key position to provide high quality, administrative support to the Director of Planning Services within the LDA. This job would suit someone who likes a fast-paced dynamic role and takes ownership for their own workload with little direction required, continually reorganising and prioritising to Director of Planning Services gets the best support possible to deliver on the LDA’s mandate and objectives.
Key Responsibilities will include:
- Provide administrative support to the Director of Planning Services and wider team
- Undertake agenda and meeting planning, prepare and collate documents, timely co-ordination of updates, reports and packs for meetings, including committees, planning management Team, EMT and Board meetings
- Attend and take minutes at meetings/ and support workshops/ planning related work as requested by the Director
- Ongoing prioritisation of tasks and workload ensuring deadlines are met and that the work in completed in a timely manner
- Responsible for the administration of departmental business invoices, purchase orders and any other tasks as required by the planning team in compliance with the LDA’s policy and procedures
- Continuously looking for ways to improve efficiency and effectiveness
- Maintenance of sensitive and confidential information and supporting Director and management of planning
- Build up relationships with internal and external stakeholders
- Responsible for diary management and meetings administration for the Director of Planning Services and meetings related support for the planning team.
- Other tasks or support as requested by Director of Planning Services including data collection, analysis and support with administrative/ procedural reports or updates
- Ad hoc support to other departments as required.
Knowledge, Skills and Experience:
- A minimum of 5 years' experience working within a similar role within a similar organisation is essential for this role.
- Experience providing administrative support to a Senior Manager including management of a complex calendar would be an advantage
- Must have the ability to prepare agendas and take minutes for management team meetings and manage and track follow up actions.
- The successful candidate must demonstrate strong organisational, planning, time management, project management, problem-solving, and anticipatory skills.
- Ability to execute in relatively ambiguous and complex situations, prioritizing and juggling multiple actions at once, work independently, be self-motivated and action oriented
- Exercises sound judgment, tact, diplomacy, and professionalism
- Highly organized and detail-oriented
- Demonstrate a positive 'can-do' attitude, maintain confidentiality, and be an effective team player
- Strong verbal and written communication skills
