Senior Personal Assistant (Maternity Leave Cover)
This is a superb opportunity to support a small family office based in Dublin 4. You will provide support to a husband-and-wife team, helping them to manage their personal commitments, organise their diaries and free up their time by providing exceptional administrative support.
Reporting to:
· This role will report directly to the CEO of a successful IT Firm.
The duties and responsibilities related to this role are subject to change, and candidates must be willing to move into different sectors of the client’s organisation over time.
· Ideal candidates must have a flexible approach to work and be willing to go above and beyond for the organisation.
· Personal growth is possible within this organisation should the right candidate be willing to adapt to the practises and culture of the organisation.
Activities will include:
· Co-ordination of diaries, scheduling of appointments
· Attend meetings, communicate agendas & track action items
· Book travel and accommodation in accordance with itinerary and diary requirements
· Make Reservations/Appointments and provide assistance with personal tasks as required
· Deal with incoming email and post, often corresponding on behalf of the family
· Manage invoices/expenses for approval and arrange payment runs as required
- Liaising with accountants, solicitors, architects as needed
- Assist with property activities, utilities and vehicles as needed
· General admin activities such as filing, drafting documents
· Ad hoc activities as requested
The ideal candidate will take a flexible approach to work and an understanding that responsibilities may occasionally vary due to business demands, they will be:
· A flexible, self-starter with excellent interpersonal and communication skills, both written and oral
· Possess a high level of integrity, trustworthiness, and tact
· Ability to maintain confidentiality and exercise discretion
· Proven ability to work in a fast paced / rapidly changing environment
· Ability to manage several tasks at any one time and lead / drive them through to execution
· Possess advanced skills in MS Office applications
· Willing to drive and have a full, clean driving licence
