Our Client, an Educational Institution is looking to hire an Administrative Assistant on a temporary Full-Time contract for 3 months end date 27/02/2026.
Role Summary:
The post holder will provide high-level administrative support for the Office of the Vice President for Equality, Diversity and Inclusion, including coordinating numerous events and activities throughout the academic year.
They will support key OVPEDI committees and working groups, including:
- EDI Team Meetings
- EDI Campus Committee
- Athena SWAN Institutional SAT
- Universal Design & Access Steering Committee
- SVH Prevention and Response Committee
- Vice Deans EDI Group
They will also manage several EDI grants and project funds (e.g., Research Grant for Returning Academic Carers, Capacity Building, Consolidation, Covid-19, and the annual EDI Project Fund). As the first point of contact for the OVPEDI, the post holder will deliver excellent customer service to staff, students, external partners, and the public.
Main Duties and Responsibilities
- Deliver high-level administrative support for OVPEDI committees, including scheduling meetings, preparing agendas and minutes, and monitoring action items.
- Support the daily finance and operational needs of the OVPEDI, including processing purchase orders and budget updates using relevant HR, Finance and Office 365 systems.
- Assist in the coordination and administration of EDI projects.
- Administer key EDI grants, including the Research Grant for Returning Academic Carers, Capacity Building Grant, Consolidation Grant, and Covid-19 Grant.
- Provide guidance on the application and implementation of EDI policies and procedures.
- Lead the project management and production of the annual EDI Report.
- Serve as the first point of contact for the OVPEDI, delivering excellent customer service to staff, students, external partners and the public.
- Maintain and update content for the OVPEDI website.
- Manage the EDI training calendar, liaise with training providers, and oversee registration, attendance and evaluation processes.
- Provide support to Staff Networks, including LGBT+, International, Women’s Network and the Neurodiversity Staff Network.
- Work collaboratively with OVPEDI colleagues to deliver initiatives across various EDI workstreams (e.g., gender equality, race equality, consent, disability, LGBTQ+).
- Offer administrative assistance to the VPEDI and Head of EDI, including diary management and travel arrangements.
- Organise events, meetings and activities involving internal and external stakeholders to support OVPEDI programmes and operations.
- Contribute to the development and improvement of administrative processes and standard operating procedures.
- Prioritise and manage assigned tasks effectively, ensuring timely, high-quality completion with strong attention to detail.
- Keep up to date with relevant policies, procedures and regulations.
Skills Required:
· A minimum of five passes at Leaving Certificate level (or equivalent).
· At least three years of relevant work experience providing high-level administrative support in a busy office environment.
· Strong IT proficiency, with experience using Office 365 and systems such as Finance, HR, and Student Records.
· Proven ability to manage and prioritise a diverse workload while meeting strict deadlines.
