I am seeking a professional, organised, and customer-focused Receptionist / Administrative Assistant to support daily operations and provide high-quality front-of-house and administrative services. This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a dynamic environment. The successful candidate will act as the first point of contact for visitors and callers while also supporting the executive team with administrative tasks.
This is an on-site role Monday to Friday based in Galway City.
Key Responsibilities
Reception & Front-of-House Duties
- Serve as the first point of contact for all visitors, customers, and callers.
- Manage incoming phone enquiries, including:
- General queries
- Parking enquiries
- Weighbridge customers
- Marina visitor berth customers
- Provide professional, courteous, and efficient customer service at all times.
- Manage reception area to ensure it is tidy, welcoming, and presentable.
Administrative Support
- Organise staff meetings, including preparing agendas, documentation, and room setup.
- Provide typing and administrative assistance to senior team members.
- Prepare and format presentations and documentation as required.
- Maintain and manage the Board Room schedule.
- Book travel arrangements (flights, hotels, etc.) for staff.
- Coordinate and book external training courses for employees.
- Order and arrange lunch for meetings, ensuring timely delivery and setup.
- Assist with ad-hoc projects assigned by the executive team.
Skills & Qualifications
- Previous experience in a receptionist or administrative support role.
- Strong communication and interpersonal skills.
- Excellent organisational skills and ability to multitask.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Professional and polite telephone manner.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
