Our client, a global organisation operating in the financial services and technology sector, is seeking an experienced and highly organised Executive Assistant to support members of the Executive Leadership Team within their Dublin office.
This is a varied and fast-paced role requiring a candidate who can confidently manage complex executive schedules, travel logistics, and governance administration, while also supporting broader office operations. The successful candidate will work closely with senior leadership and the Office Manager to ensure the smooth day-to-day running of executive and office activities.
This position would suit an Executive Assistant who enjoys working in an international, corporate environment and who thrives in a role that combines high-level administrative support with operational and organisational responsibilities.
Key Responsibilities
Executive Support
- Manage complex calendars across multiple time zones, ensuring efficient scheduling and resolving conflicts.
- Coordinate domestic and international travel arrangements, including flights, accommodation, transport, and visa requirements.
- Prepare and submit expense claims and credit card reconciliations accurately and in a timely manner.
- Provide proactive diary management to maximise executive productivity and ensure smooth scheduling of meetings.
Governance & Board Administration
- Administer the organisation’s board portal, ensuring meeting materials and documentation are uploaded and organised for directors.
- Support the preparation, formatting and distribution of board packs and governance documentation.
- Develop expertise as a key user of the board portal system and support related administrative processes.
Office & Operational Support
- Assist the Office Manager with the coordination and delivery of internal events, meetings, and company functions.
- Provide backup support for the reception desk when required, including greeting visitors and assisting with front-of-house operations.
- Provide general administrative support to ensure the smooth running of the office.
- Assist with occasional HR-related administrative tasks.
Candidate Profile
Experience
- 3–5 years’ experience working as an Executive Assistant or in a similar senior administrative role.
- Experience supporting senior leadership within a multinational or corporate environment.
- Demonstrated experience managing complex calendars and international travel arrangements.
- Exposure to board administration or governance processes would be advantageous.
Skills & Competencies
- Strong organisational and prioritisation skills with the ability to manage multiple deadlines.
- Excellent attention to detail and a high level of accuracy.
- Strong written and verbal communication skills with a professional approach.
- Ability to maintain discretion and manage confidential information appropriately.
- Flexible and proactive approach with the willingness to support across various administrative functions.
Technical Skills
- Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Drive).
- Experience using Concur or a similar travel and expense management system.
